How to Use This Guide

This is the general event guide for all participating franchisors. Use it to understand how to prepare, what to expect during the Fair and how candidate follow-up works afterward. Any franchise-specific logistics will be communicated separately.

Start Here: Exhibitor Process

Your participation is built around three stages. Use this page as your team's working checklist before, during and after the event.

Prepare

Confirm your team, complete your booth, review training, prepare for your First Look and identify 1:1 availability.

Engage

Participate in your live First Look, review candidate profiles, connect 1:1 and capture meaningful next-step notes.

Follow Through

Share candidate feedback with Vetrepreneur and coordinate continued franchise conversations through the coaching process.

Before the Event

Please complete the items below before event day so your team is ready to participate.

Confirm Your First Look ParticipantsEach First Look should include a franchise representative and a current franchise owner from your system. Please confirm both participants and make sure they understand their role in the moderated 10 Questions / 10 Minutes conversation and live candidate Q&A.

Confirm Your 1:1 Representative(s)Your franchise representative may also handle 1:1 candidate conversations, or you may designate another member of your franchise development team to help provide coverage. Please confirm who will be available for 1:1 conversations between 12:10–3:00 PM ET.

Send Us Your Participating Team MembersPlease send us the names and email addresses of everyone participating in the event—including your First Look participants and 1:1 representative(s). The Vetrepreneur team will add each participant to Radancy (Brazen) so they have the appropriate event access.

Review Your Franchise BoothsOnce your team has been added, participating representatives will receive an email notification from Radancy (Brazen) with instructions to log in. Please review both your First Look webinar booth and 1:1 chat booth, including the content and information provided, and let us know if any updates are needed before the event.

Your First Look Session

Each First Look is a fast, moderated introduction designed to give candidates an authentic view of the business and ownership experience.

10 Questions / 10 Minutes

The moderator will move through a defined set of questions with the franchise representative and current franchise owner. Responses should be conversational and concise.

5 Minutes: Live Candidate Q&A

Candidates can ask questions directly following the moderated conversation. Keep answers focused and use 1:1 conversations for deeper discussion when appropriate.

Important: The goal of the First Look is not to close a candidate during the session. Help them understand the opportunity, answer questions and identify whether the business deserves a closer look.

1:1 Candidate Conversations — 20 Minutes Each

Throughout the event, your team may connect directly with candidates who want to learn more about your franchise. Each 1:1 conversation is scheduled for up to 20 minutes, giving you time to answer franchise-specific questions, learn more about the candidate and identify potential fit.

What Happens Next

At the end of each 1:1 chat, Brazen will prompt you to rate the candidate. Please select the option that best reflects the conversation. These ratings help the Vetrepreneur team understand where there is interest and what should happen next.

Strong Fit – Continue Conversation The candidate appears to be a strong potential fit for your franchise and there is clear interest in continuing the conversation.

Potential Fit – Follow Up There may be a fit, but additional discussion or information is needed before determining whether the opportunity should move forward.

Explore Further – More Information Needed The conversation raised interest, but more information is needed from either side before deciding whether your franchise should remain part of the candidate's exploration.

Not a Fit for Our Franchise Based on the conversation, your franchise does not appear to be the right fit for this candidate at this time.

(N/A) Did Not Connect Use this only when you did not have a meaningful conversation with the candidate and do not have enough information to rate fit.

Candidate next step: Regardless of the rating, every qualified candidate's next step after the Fair is a Discovery Call with a Veteran Franchise Coach. If your franchise remains a potential fit, Vetrepreneur will work with the candidate through the coaching process and coordinate continued interactions with your team.

September 15: Required Tech Check

To make sure every exhibitor is ready for the live event, each participating franchise will complete a brief tech check with the Vetrepreneur team on September 15.
